Organizational Setting

The Nuclear Medicine Section is one of four Sections in the Division of Human Health. Its primary objective is to enhance Member States' capabilities to employ in vivo and in vitro diagnostic and therapeutic nuclear medicine technologies efficiently for managing their main health problems and for undertaking related basic and clinical research.

Assignment

Under the general supervision of the Section Head, the incumbent will provide clerical and secretarial assistance to the professional officers of the Nuclear Medicine Section. In particular:
  • To assist in the organization of scientific meetings and handle travel arrangements for staff and non-staff through the Agency's Travel, Lodging and Subsistence System (ATLAS), and prepare related correspondence in accordance with IAEA rules and procedures.
  • To draft correspondence and minutes; edit meeting reports, manuals, technical reports and other documents in accordance with the IAEA standards.
  • To provide clerical/secretarial support related to the administration of the Section's Technical Cooperation activities and Coordinated Research Projects.
  • To input, retrieve and assemble information from databases using commerical or IAEA specific software applications.
  • To screen incoming correspondence/documents, route to appropriate officers and follow-up to ensure actions are taken in a timely manner.
  • To perform clerical/secretarial duties such as drafting correspondence, preparing PowerPoint presentations, making appointments, etc.
  • To organize and maintain the electronic and hard copy filing system.
  • To act as a back up to Section Head's secretary in various duties and coordinating functions.
  • To perform any other related clerical/secretarial duties assigned by the supervisor/s.

Knowledge, Skills and Abilities

  • Working knowledge of a computerized travel system such as the Agency's Travel, Lodging and Subsistence System (ATLAS).
  • Knowledge of computerized meeting systems such as the Room Reservation System and the Agency-wide Meeting System (AwMS). Knowledge of the automated Research Contracts Systems. Knowledge of the IAEA's TC Prime/TC Pride and Livelink desirable.
  • Familiarity with the IAEA's administrative procedures and knowledge of the IAEA's Procurement System (APS) an asset.
  • Ability to input, retrieve and assemble information from databases using commercial or IAEA specific software applications.
  • Proficiency in the use of Microsoft Office 2003 (Word, Excel, Outlook and PowerPoint), which is the IAEA standard. Ability to use mail merge desirable.
  • Excellent organizational skills, ability to prioritize work assignments and multi-task under time pressure; ability to work both in a team and independently.
  • Strong interpersonal and communication skills to deal effectively with staff at all levels and external counterparts.
  • Ability to work in a multicultural environment with sensitivity and respect for diversity.
  • English typing and grammar tests to IAEA standard.
  • Excellent knowledge of both oral and written English. Working knowledge of Spanish and/or German desirable.

Education and Experience

  • Completed secondary education.
  • At least five years of relevant clerical/secretarial working experience.
  • Experience in providing administrative support for international scientific meetings.
  • Experience in editing routine correspondence and formatting technical documents to high standards.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €32 101 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
