Organizational Setting

The IAEA Library is located in the Department of Nuclear Energy. It provides professional information management and services in all areas of IAEA activities, with the following core functions: (1) managing and preserving information resources; (2) providing information services; (3) promoting information exchange.

Information management and services is divided into two offices: The back office covers all areas of information management and preservation; the front office focuses on providing information services to clients.

The Library Assistant is a member of the front office team, managing the circulation collection and loan services. Service at the front office is client-oriented, information resource rich, and the work involves peak periods.

Assignment

Under the supervision and guidance of the Senior Librarian, the Library Assistant acts as working supervisor at the circulation desk and is responsible for the overall management of the Library's circulation and audio-visual collection:
  • Coordinate/perform all lending operations, ensuring that loan requests are responded to, returned material is shelved, overdue notices are sent out, interlibrary loan requests are processed
  • Develop, manage, preserve and provide access to the Library's conventional and audio-visual collection; Monitor/perform the correct shelving and shifting of the collection
  • Develop and sustain productive customer relationships, working effectively with people from all backgrounds
  • Draft proposals for new services as well as for policies and procedures concerning the provision of lending operations
  • Handle and monitor the use of the integrated library management system's circulation module and provide guidance on the use of the Library's online catalogue
  • Act as liaison officer for the collection custodians and back up for the ordering of articles and documents

  • Technical expertise: Thorough knowledge of library activities and operations and solid computer skills
  • Excellent planning and organizing skills
  • Strong client orientation, making customers and their needs a primary focus of action
  • Demonstrated interpersonal skills: ability to work in a multicultural environment with sensitivity and respect for diversity; ability to deal with difficult or sensitive situations in a tactful manner
  • Good analytical skills: ability to interpret library policies and procedures and communicate them to custodians; ability to identify potential problems and to suggest sound solutions
  • Ability to initiate and respond to changes related to the field of work
  • Good supervisory skills with the ability to delegate responsibility, clarify expectations and value staff achievements
  • English typing ability and grammar tests to IAEA standard
  • Fluency in spoken and written English

Education and Experience

  • Completed secondary education
  • At least 10 years of experience with increasing responbilities within an international organization, including a minimum of 4 years of experience in the field of library work
  • Experience in working with an integrated library management system

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €42 972 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
