Organizational Setting

The Soil and Water Management and Crop Nutrition Section is one of the five Sections of the Joint Food and Agriculture Organization (FAO)/IAEA Division of Nuclear Techniques in Food and Agriculture. The Joint FAO/IAEA Division provides support to Member States of the FAO and IAEA in the use of nuclear techniques and related biotechnologies for the development of improved strategies for sustainable food security. These activities are conducted by coordinating and supporting research, providing technical and advisory services, providing laboratory support and training, and collecting, analysing and disseminating information. Within the Joint FAO/IAEA Division, the Soil and Water Management and Crop Nutrition Section is responsible for developing integrated soil-plant nutrient and water management practices aimed at increased land productivity, crop yields and sustainable agriculture.

The Soil and Water Management and Crop Nutrition Section consists of a Section Head and 3 professional staff.

Assignment

Under the supervision of the Section Head, the incumbent will provide clerical and secretarial support to the Section Head and professional staff as follows:
  • Assist in the organisation of scientific meetings and handle travel arrangements for outside experts and professional staff, and prepare related correspondence in accordance with Agency rules and procedures.
  • Type, edit and format correspondence, reports, and technical documents (including tables, charts and equations) in accordance with IAEA standards, assist in the preparation of PowerPoint presentations, and draft routine correspondence and minutes on the basis of instructions received and on the basis of own knowledge of the work.
  • Organize and maintain the working files of the Section; ensure accurate up-date of shared electronic files of the Section.
  • Provide clerical assistance, such as receiving, screening and distributing mail; routing them to appropriate officers for action; following up on deadlines to ensure that actions are taken in a timely manner.
  • Perform internal administration duties for the Section's management: ordering office supplies, photocopying, sending files to Archives, updating the Soils Library data base and distributing relevant documents to external inquirers.

Knowledge, Skills and Abilities

  • Working knowledge of computerised travel system such as IAEA's Travel, Lodging and Subsistence System (ATLAS) desirable.
  • Proficiency in Microsoft Office 2003 (Outlook, Word, Excel, PowerPoint), which is the IAEA's standard. Ability to use mail merge desirable.
  • Sound knowledge of the administrative procedures and standards of an International Organization such as the IAEA desirable.
  • Strong interpersonal skills to work cooperatively with staff at all levels and external counterparts.
  • Ability to work in a team in a multicultural environment and an ability to handle confidential correspondence and information with discretion.
  • Ability to prioritize work assignments, organize own schedule, perform routine work independently, meet deadlines and adapt to constantly changing demands and multitasking.
  • Accuracy and ability to pay attention to details.
  • English Typing Test (level 1) and English test.
  • Fluency in spoken and written English required. Working knowledge of German desirable.

Education and Experience

  • Completed secondary education. Formal secretarial training desirable.
  • At least five years of relevant working experience in a secretarial/clerical position, preferably in an international environment.
  • Experience in providing administrative support for meetings.
  • Experience in editing routine correspondence and formatting documents to high standards.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €32 526 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
