Organizational Setting

The Division of Conference and Document Services encompasses the language services (translation, terminology, references and official records of meetings), conference organizing and support (in and outside Vienna), publishing (mainly scientific publications), printing operations, and sales and marketing of IAEA publications. The digital printing service (print-on-demand) is also provided to other Vienna International Centre based organizations (VBOs) on a reimbursable basis. The budget of the Division is approximately €14 million and the programme of work is implemented by some 140 professional and support staff. The Division Director, under the direction of the Deputy Director General for Management, is required to develop appropriate strategies, to establish standards and to provide guidance for staff of the Division in the delivery of customer-focused services for IAEA conferences, symposia and meetings, linguistic support, publications and printing, and to coordinate those activities, as needed, with other UN Agencies and the host country, Austria.

Main purpose

  • To develop the integrated programme of work and direct the staff of the Division with special emphasis on the establishment of appropriate standards and systems, the assignment of functions and the availability of adequate human and financial resources.
  • To monitor the provision of services, ensuring that proper planning for conferences is undertaken and that the required support services are in place, and that all language and publication services required by the Secretariat and Member States are available and delivered as effectively and efficiently as possible and in a timely fashion.
  • To participate in the overall planning process in collaboration with other Divisions in the IAEA and other organizations as required for the performance of the above functions.
  • To provide strategic advice to the IAEA's management on all issues relating to the work of this Division.
  • To liaise with Member States' representatives to gather their input and feedback on the provision of services by this Division.

Role

The Director is: 1) a leader, ensuring timely, and high quality, customer-focused services, and cost-effective implementation of conference and document services functions in the IAEA; 2) an adviser to the Deputy Director General for Management and other senior managers, and coordinator with senior managers of other VBOs on all related maters; 3) a manager of the human and financial resources assigned to the Division, promoting customer-oriented services through quality management, providing direction and motivating staff in the Division and fostering good performance and teamwork.

Partnerships

The Director builds partnerships and alliances, maintaining dialogue and close working ties with all persons in the IAEA using the services provided by the Division. In addition, she/he establishes relationships with other organizations in the Vienna International Centre (VIC) using the IAEA's printing services and in the allocation of space in the VIC. She/he liaises with the relevant Austrian authorities in relation to the provision of necessary meeting space outside the VIC.

  • Ensure efficient, economical, timely and customer-focused conference and document services.
  • Represent the IAEA in negotiations on matters relating to conference and document services with Austrian governmental and municipal authorities, other international organizations, and local and international suppliers and contractors.
  • Support change initiative, promote quality management and foster innovative reforms.

Knowledge, Skills and Abilities

  • Well developed knowledge of the principles of human resource and financial management and the ability to apply these principles in the management of people and programmes.
  • Ability to manage effectively a large and diverse workforce of professional and support staff of different nationalities.
  • Ability to participate effectively in strategic planning for organizational direction, to define practical strategies, to build cohesive teams and to direct them towards identified goals within budgets and on time.
  • Ability to direct the application of computer technology for the improvement of business processes.
  • Ability to work with and acquire the collaboration of colleagues in the IAEA and other VBOs at all levels and to have a good working relationship with Member States' representatives.
  • Well developed communications and diplomatic skills, including the ability to deliver effective presentations.

Education, Experience and Language Skills

  • Advanced university (or equivalent) degree including some specialization in management or business administration.
  • At least 15 years of experience in any of the above functions or in a related field of work with at least part of this time in an international environment. A substantial part of this experience should have been at senior management level in a national or international organization with evidence of sound managerial capabilities at this level.
  • Excellent command of written and spoken English. Proficiency in one or more of the other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) as well as knowledge of German desirable.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at US $89 129 (subject to mandatory deductions for pension contributions and health insurance), a variable post adjustment which currently amounts to US $68 629*, dependency benefits, diplomatic status, rental subsidy, education grant, relocation and repatriation expenses; 6 weeks' annual vacation, home leave, pension plan and health insurance.
