Organizational Setting

The Division of Conference and Document Services encompasses the conference services (organizing and support in and outside Vienna), language services (translation, terminology and official records of meetings) and publishing services (mainly scientific publications, printing operations, and sales and marketing of IAEA publications). A digital printing service (print-on-demand) is also provided to other Vienna International Centre based organizations (VBOs) on a reimbursable basis. The annual budget of the Division is approximately €14 million and the programme of work is implemented by some 140 professional and support staff.

Main purpose

Under the direction of the Deputy Director General for Management, the Director of Conference and Document Services plays a key role in the exchange of scientific and technical information between the IAEA and Member States by ensuring the highest degree of efficiency and effectiveness in the management and coordination of conference, language and publishing services.

Role

The Director is: 1) a leader, providing strategic direction and fostering an environment which values motivation, performance, teamwork, skills development and knowledge sharing; 2) a manager of the human and financial resources assigned to the Division in line with the results based programmatic approach; 3) an adviser to the Deputy Director General for Management on all issues related to conference, language and publishing services.

Partnerships

The Director builds working relationships with clients throughout the IAEA who use the services provided by the Division. In addition, she/he establishes partnerships with other organizations that use the IAEA's printing services. She/he liaises with the relevant Austrian authorities in relation to the provision of necessary meeting space outside the Vienna International Centre. She/he participates in a network of counterparts at the international level to exchange knowledge of best practices and identify business opportunities.

Functions / Key Results Expected

  • Lead the Division of Conference and Document Services, providing direction and guidance to staff, and establishing and monitoring standards of excellence in performance. Develop work programmes with special emphasis on quality and efficiency improvements and ensure the availability of adequate human and financial resources.
  • Oversee the provision of services, ensuring that adequate planning for conferences is undertaken and that all language and publication services required by the Secretariat and Member States are available and delivered as effectively and efficiently as possible. Liaise with Member States' representatives and counterparts within the organization to obtain feedback on the quality of services provided and take any required corrective measures.
  • Provide advice to the IAEA's senior management on all issues relating to the activities of the Division. Keep up to date with the best practices and latest technological (IT) developments in the area of conference, language and publishing services, assess their applicability to the IAEA's environment and oversee their implementation.
  • Represent the IAEA in negotiations on matters relating to conference and document services with Austrian governmental and municipal authorities, other international organizations, and local and international suppliers and contractors.

Education, Experience and Language Skills

  • Advanced university degree, including some specialization in management or business administration.
  • At least 15 years of increasing operational experience with significant staff and financial responsibilities, a substantial part of which should have been at the senior management level.
  • Demonstrated experience in leading a large multicultural and multidisciplinary team.
  • Excellent knowledge of English. Proficiency in one or more of the other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) and a working knowledge of German desirable.

Remuneration

The Agency offers an attractive remuneration package including a tax-free annual net base salary starting at US $91 206 (subject to mandatory deductions for pension contributions and health insurance), a variable post adjustment which currently amounts to US $59 284*, dependency benefits, diplomatic status, rental subsidy, education grant, relocation and repatriation expenses; 6 weeks' annual vacation, home leave, pension plan and health insurance.
