Organizational Setting

The Division of General Services is one of the six Divisions in the Department of Management. It provides service functions through the Director's Office and five Sections: Facilities Management, Seibersdorf Facilities Management, Archives and Records Management, Transport and General Support and Commissary.The Commissary is a tax and duty-free store. It was established as a self-sustaining and non-profit making operation in order to facilitate the purchase of limited quantities of consumer goods by the diplomats of Permanent Missions of member states accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

Under the overall direction of the Director, Division of General Services and the direct management of the Head, Commissary Management Section, the Commissary consists of three Units: Procurement, Sales and Warehouse, and Invoice Control. The Sales and Warehouse Unit is divided into three major Groups: the Main Sales Group, the Cosmetics and Boutique Group and the Warehouse Group. The Main Sales Group is responsible for the display and sale of all goods in the Salesroom, the shelf replenishment and the operation of the Depository and the Bulk Sale Outlet.

Working in a team, the incumbent primarily works in the Salesroom replenishing shelves, in the Bulk Sale or the Depository or at a cash desk packing customer bags; all these tasks are physically strenuous. The work performed in the deep-freeze rooms (-22 C) and the chilled rooms (+7C) is equally strenuous because of the constant change of temperature when moving between the deep-freezer/cold store and the Salesroom. Work may be assigned by the Team Supervisor or the Head, Sales and Warehouse Unit. The customer-oriented environment demands a willingness to work shift and, sometimes at short notice, long hours.

The Commissary, from time to time, needs temporary staff at short notice and possibly for a few weeks only in order to cover periods of high workload or staff absences. For this purpose, it keeps a pool of candidates it can call upon. Main Purpose

Under the day-to-day supervision of one of the Team Supervisors and the general supervision of the Unit Head, the Salesroom Worker performs shelf-replenishment and packer duties; he/she is expected to perform all his/her routine duties independently.

Working Relationships

The Salesroom Worker interacts with Commissary customers of all levels concerning product locations and exchanges work-related information with other Commissary staff.

Functions / Key Results Expected

  • Before and during Commissary hours, receive and open cases received from the Warehouse; open and unpack merchandise; check expiry date, ensure proper display of the merchandise; maintain a tidy Salesroom, stock and replenish shelves with new or transferred goods in accordance with the first-in-first-out principle and check intactness of packaging. For products not labelled with barcodes, print out and attach to the product the relevant Commissary article numbers. Use mobile computing devices to check availability of stock and orders maximum quantities from the Warehouse to ensure adequate stocking levels on the shelves. Answer customers' questions on whereabouts of specific products.
  • Receive frozen/chilled products checking delivery documents/invoices; sort/count/open boxes and check expiry dates; sort/store frozen/chilled products in chilled and cold storage facilities. Count part of the assigned assortment on a weekly basis and report discrepancies for appropriate action by Shift Supervisor.
  • Operate the Bulk Sale Outlet. This duty involves receiving bulk-sale orders and rapidly and accurately preparing the goods for pick-up by the customer, checking customer invoices against ordered quantities and handing over the correct number of items to the customer; replenishing the shelves of the Bulk Sale Outlet according to the "first-in-first-out" principle.
  • Separate and pack customers' purchases into bags according to the type of merchandise (frozen, chilled and dry).
  • Man Depository area by receiving shopping bags/trolleys from customers and hand out corresponding bags/trolleys to customers based on numbered customer slips during the business day. Collect trolleys including those in parking lot and other surrounding areas.

Knowledge, Skills and Abilities

  • Basic IT skills (Email, Internet).
  • Very good health, physical fitness and strength to carry out strenuous shelving and packing work and possibly work in the deep freeze/cold storage facilities and the Bulk Sale Outlet.
  • Strong customer orientation with the ability to deal with customers and staff at all levels in a professional manner.

Education, Experience and Language Skills

  • Completed secondary education.
  • Relevant working experience including store keeping and the handling of consumer goods.
  • Basic English test to IAEA standard (Level 3).
  • Good knowledge of English and German is required. Knowledge of another official IAEA language (i.e. Arabic, Chinese, French, Russian, Spanish) desirable.


The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €25 753 (subject to mandatory deductions for pension contributions and health insurance), six weeks' annual vacation, pension plan and health insurance.
